Getting started
Open the app and make a plan. The wedding app asks for both partners' names and a date; the event app asks for the event's name and date. You can change either later, and the date can be left empty if you don't have one yet.
Next, set up the parts of your day — a ceremony and a reception, a lunch and an evening do, or just one. Almost everything else hangs off these: guests are invited to a part, suppliers are booked for a part, and schedules belong to a part. It is worth five minutes at the start.
If you used the older apps
Occasion replaces Wedding Planner for iPad and Event Planner for iPad. It arrives as an update to the app you already have, so your icon stays where it is and you do not need to buy anything again.
Your old plans come with you
The first time the new version opens, it finds the database the old app left behind and imports it — plans, guests, budgets, suppliers and the rest. It reads the old files without altering them, and it runs once.
If something looks missing afterwards, do not delete the app: that removes the old data too. Email us first.
What you paid for is honoured
If you bought the full unlock in either old app, or bought extra plan credits, those carry over. Long-standing customers who downloaded the app early keep their unlock without doing anything.
If an old purchase isn't recognised, open Settings in the app and use Restore purchases, making sure you are signed in with the same Apple ID you originally bought it with.
What's free, and what isn't
The app is free to download and free to use for one plan, with up to twenty-five items in each list — more than the old apps gave away, and enough to plan a small event from start to finish.
A subscription lifts the limits and adds iCloud sync. There are three tiers:
- Personal — one plan, everything in it, no limits.
- Planner — up to ten plans at once.
- Unlimited — as many as you like.
One subscription covers both apps. Subscribe in the wedding app and the event app unlocks too, and the other way round.
Subscriptions are billed by Apple and managed in Settings › your name › Subscriptions on your device. Cancelling there stops the renewal; you keep access until the period you have paid for runs out.
iCloud sync
Sync is part of a subscription. When it is on, your plans move between your iPhone and iPad through your own iCloud account.
If a change isn't appearing on your other device:
- Check both devices are signed into the same Apple ID.
- Check iCloud Drive is on — Settings › your name › iCloud — as CloudKit needs it.
- Make sure both devices have a working connection, then open the app on each and leave it open for a minute.
- Check the subscription is active on both devices.
Syncing is not instant. A large plan, or a device that has been offline for a while, can take a few minutes to catch up.
Common questions
Can two of us edit the same plan?
Sync moves a plan between your own devices. It does not yet share a plan with another person's Apple ID.
Do I need both apps?
Only if you're planning both kinds of thing. They are separate apps with separate plans; a subscription bought in either one covers both.
Can I get my data out?
Yes. Guest lists and other tables export as spreadsheets, and seating plans, schedules and colour palettes export as PDFs, through the share button on each screen.
What happens if my subscription lapses?
Nothing is deleted. Your plans stay on your device and stay readable — you return to the free allowance for adding new things, and sync stops until you subscribe again.
Which devices are supported?
iPhone and iPad running iOS 18 or later. Both apps are a single universal download.
